The benefits of this solution are that it enables you to create HTML design using information coming from Dynamics or from the Common Data Service. It pulls field data from the database and puts it in a nice format, which is then presented in email designs or documents that you might send out as part of a report, that can get converted to a PDF if you need to.
For this video I am going to trigger this solution off an order, as an email going out from an order as a table of information on products. For this to work, we give you a HTML Design entity, which is made up of FetchXML query. We can help you design this, and we have a second video on how this works if you have FetchXML expertise in your organisation and you want to have a look at that.
Under the “Design” tab, you can see what the email would look like, based on the FetchXML query and the information that we will be pulling into the email. Under “Advanced Design”, elements such as colour and font can be customised. Under “HTML Attribute Mapping”, you can track where all the table fields are being mapped from. We’ve set up this HTML mapping area if you need to review that and this is covered in further detail in our second video.
Once all of that is in the system, we’ve then created in the background a workflow that once triggered will grab that information and put it in an email. When on the order record, you can see the products table displaying the order, and you can click the three dots option at the top ribbon, find the “Flow” option, click the relevant workflow and trigger the process of creating an email.
This trigger can be set to automatically run the flow, if you don’t want to start it manually, and this can be on any entity required.
After all that is done the workflow will run and effectively grab the HTML design, put it in the body of an email and send this out to the client. Refresh the page, and you will see the email will be under the timeline, which you can expand to view the email content.
The benefit of doing this, compared to just attaching a document to the email, is that recipients don’t have to click and load up the attachment as the information will be in the email. If this is a daily occurrence such as reports, timesheets, list of opportunitiess or activities, this would make it easier to just flick through the emails.
As mentioned before, it can also go into a document as packaged up information. It’s just a good option for when you want templates to make things easier.

How the HTML Designer Works
- Create a new HTML Design record where field mappings between HTML parameters and Dynamics / Dataverse fields are automatically created.
- The General tab will reference each fields that will be used and is shown in a FetchXML structure.
- Use the Design tab to set the template layout using rich text controls and apply these fields.
- Apply HTML controls and formatting, including colours, using the Advanced Design tab.
- Configure Attribute Mapping records for each field type including date / time, decimal and money formats. For example, using a decimal field type set aggregate functions to sum, average or count these values in the template.
