Importing / Exporting Data
Many of our clients need to integrate CRM with their website or another data source so that information can be shared between the two.
As well as making complete information accessible from a single CRM interface this also helps improve processes by avoiding the duplication of data entry. Specific examples include:
-
Developing automated processes that extract & import data from web forms including automatic duplicate checking & assigning leads to the correct team using defined territory rules.
-
Integration between CRM & Sage accounting systems is commonplace. We've also developed automated import processes that transfer financial data between CRM & other accounts packages including Exchequer and Opera.
-
Developing a solution that reads from a PHP website & displays this data in CRM.
-
Automated data transfer process between CRM and an ERP system with allocated record matching.
Extending & Automating CRM functionality
Other development and configuration work we've carried out includes:
-
Embedding address management tools so users can quickly populate CRM records based on a postcode.
-
Generating sequential IDs upon adding a new CRM company record. Each unique ID includes a 3 digit specific to the country team with responsibility for the account.
-
Automated processes that email notifications to account managers upon allocating new CRM records and send a daily email to sales managers summarising all the new accounts added.
-
Applying workflow routines to ease data input where on-screen fields and drop-down lists shown are contextual based upon earlier field entries. For example, the mandatory fields on a CRM lead records automatically changes depending on the selected product of interest.
Bespoke Development
Some of our recent projects have included:
Survey web portal with CRM integration
Our client collates survey responses from its agents working overseas with ethical tea growers.
We've developed a front end portal that's fully multi-lingual and applies our clients defined rules using dynamic survey questions based on earlier answers so the questions asked are rarely seldom identical.
With integration between the portal and CRM, survey responses are automatically imported into CRM and filed against the corresponding record. Each survey response is stored in CRM as a separate entity so reporting and analysis can easily be carried out from a single screen.
Agents were quick to adopt the portal and our client immediately reported quicker survey responses that reflected more relevant and detailed information compared in comparison to their manual survey processes.
Restricted CRM global deployment via a bespoke portal
One of our clients has a network of several 100 members and volunteers based worldwide who need controlled access to limited CRM data.
We've developed a bespoke portal that has a consistent style to their corporate website enabling authorised people to view selected information via the web front end. Access permissions are controlled from CRM with 5 unique levels of authorisation.
Data is drawn from their Microsoft Dynamics CRM database and any changes are directly written back ensuring that only one central source of data is retained.
Although portal access is controlled from CRM the development enables data to be shares worldwide without the need for our client to purchase CRM licences for each member.
Bespoke CRM implementation including barcode scanning integration, advanced security controls & audit tracking
One of our projects included integrating CRM with our client's barcode reader technology to automatically update CRM status and tracking fields upon barcode scanning prior to shipment and upon delivery of couriered packages.
As part of this workflow we developed a dynamic link enabling CRM users to track shipped packages using the websites of leading courier firms including DHL and TNT.
This link instantly reads the unique shipping barcode scanned into CRM to give our client a seamless process for tracking shipped items without the need for any manual data entry in CRM!
The packages being shipped are umbilical cord blood samples and after testing their results are stored in CRM. We created a 'decision' calculation field using a table script to populate a decision field using multiple outcomes based on the results and other data entered.
Because of the confidential and sensitive nature of this information our team have developed extra security controls including the enforcement of a further log-in process within CRM to restrict access to specific screens containing this data so it can only be accessed and updated by senior team members.
